Features
Every area, on every build.
Every agency runs the same build, and its plan switches on the areas it uses. These are the staff app's own sections — not a brochure written beside it — so if it is listed here, it is a screen that exists.
01
Compliance
The statutory clocks, the evidence behind them, and what is overdue.
- Duties generated from the records, never typed in — each with a date, an owner and what breaching it costs
- Fire safety by height band — the 11m, 18m and higher-risk duties, applied per building
- Buildings insurance: cover, excess, renewals and claims, with broker commission recorded
- A configurable register of statutory checks, with the frequency and legal citation on each
- Site inspections booked, carried out and filed, with findings that become tickets in one step
- An asset register for the plant each building holds, and its servicing
- Documents and certificates filed against the record they are evidence for
02
Finances
Client money handled as client money, from the demand to the year end.
- Service charge demands with the statutory summaries attached, and arrears tracked against them
- Budgets apportioned per schedule, so the right cohort of units pays for the right thing
- Supplier invoice approval queues and payments
- Bank reconciliation, with a receipts inbox for matching money in
- Funds and inter-fund transfers, with the agency fee run kept separate from client money
- A nominal chart of accounts that budgets and invoices post against
- Year end — accruals, prepayments and the pack your accountant asks for
- Credit control by escalation stage, with letters that come out as a letterhead pack or as Word documents you can finish yourself
03
Work
What has been reported, what was ordered, and what it cost.
- Tickets with service-level clocks that pause when you are genuinely waiting on somebody else
- Work orders and quotes, with a contractor blocked from allocation while their insurance has lapsed
- Planned maintenance schedules
- Section 20 consultation in order, with the observation periods enforced rather than remembered
- A bridge to the contractor app, so a firm sees only the work orders you approved them for
- Templates deciding what a contractor must fill in when they file a report
04
Properties and people
The portfolio, and everybody attached to it.
- Blocks, units and leases, with apportionments that total exactly 100%
- Leaseholders, and separately the residents actually living there — who most systems miss
- Client companies and the appointment that authorises you to act
- Contractors, their trades, and the documents that keep them compliant
- Bulk import from CSV — a dry run first, and nothing written until you commit
05
Communication
Every word out, on the record, by the route each person asked for.
- Resident conversations, and a separate office channel no resident ever sees
- Group email merged per leaseholder, with nothing sending until you say so
- An outbox showing every document out by each recipient preference — email, print or post
- A building noticeboard that keeps the record you posted it
- A concierge desk for parcels held at the door, and the resident thread about them
- Search across every record at once
06
Running the agency
The controls an owner needs, and the trail a regulator asks for.
- Four roles that are disciplines rather than ranks, so nobody holds a screen their job does not need
- Two-factor authentication, with Microsoft and Google sign-in where your agency allows it
- Exports in Excel, PDF and Word — typed cells, your letterhead, your branding, not ours
- A reports centre with the portfolio figures behind each one
- A setup checklist saying what is done, what is next, and what is still missing
- Edit and delete on what you create, and an undo on the actions that leave the building

Six Ways In, One Record
A leaseholder, a resident, a director, a contractor and a concierge each get a door built for them — reading and writing the same records the office does, with only what they are entitled to see.
- Managing agentyour office
- The staff app — blocks, tickets, compliance, money, documents and the duties board.
- Leaseholder Portalleaseholders
- What they are charged and why, their building’s safety record, and anything they have reported.
- Resident Portaltenants and occupiers
- The person actually living in the building, who an agent’s records usually miss entirely.
- Director Portalthe RMC or RTM board
- What their managing agent owes the building and whether it has been done — in aggregate, never unit by unit.
- SynkroTech Tradeyour contractors
- Their jobs, site details and where their paperwork stands.
- Concierge Deskthe front desk
- Parcels in and out, the flat directory and the resident thread — scoped to the one building they work in.
Every line above is a screen. If you would rather see one than read about it, ask — we would rather show you the screen.
