Signing off an inspection

Property managerYour first month2 minutes to read

What you'll end up with: the inspection closed in your name with your signature, its report made as a PDF at that moment, and any checks the checklist records (such as a monthly fire door check) marked as done on the compliance register.

Before you start you need: every required question answered (see Doing the inspection: answering the checklist, recording findings and photos).

Sign-off is your statement that the answers are what you found. After it, the answers cannot be changed without a recorded correction, so check them first.

  1. On the inspection, press Sign Off.
  2. Check To Finish. Each question still needed is listed with Answer (or Finish where it needs a comment or a photograph). Press it to go straight to that question, then come back.
  3. When the page reads "Ready to sign", check the summary: how many questions are answered, the findings, the score and the tickets raised.
  4. Check your Name.
  5. Sign in the box with a finger, a stylus or the mouse.
  6. Tick I confirm these answers are what was found.
  7. Press Sign Off.
What is left to finish
Step 2. "Signing is closed" until the list is empty.
Signing
Steps 4 to 7.

You'll know it worked when: the report opens, "Made at sign-off", with View PDF, Download PDF and Download Word, and the inspection reads as signed off on the inspections list. Each duty it recorded lists the inspection under Evidence on the duty's page ("Recorded as done", or "Seen"), with a link back to it.

If something's wrong:

  • Sign Off stays grey and the page says "Signing is closed". A required question is not answered, or one needs a comment or a photograph. Work down the To Finish list.
  • Sign Off stays grey with everything answered. Sign in the box and tick the confirmation.
  • "Earlier tickets not looked at" is shown. It does not stop sign-off, but the property's open tickets were not reviewed. Go back to the inspection and press Close or Carry Over on each.
  • A finding has no ticket. The summary says so. Sign-off is still allowed; raise the ticket first if the repair needs doing (see Raising a repair from something found on an inspection).
  • You need to change an answer after sign-off. It is recorded as a correction, with a reason.
